Privacy policy

Shop Follow-Up is run by Blake Ryan Howse, a sole trader based in New Zealand, trading as Shop Follow-Up (“we”, “us”). This policy explains what personal information we collect, how we use it and the choices you have. We follow the Privacy Act 2020.
Two kinds of information
1. Information about workshops and their staff, who use Shop Follow-Up. For this, we decide how it’s used.
2. Information about a workshop’s customers, which the workshop enters into Shop Follow-Up (such as names, contact details, vehicles, visits and reminder history). We hold this on the workshop’s behalf, to provide the service to that workshop. The workshop is responsible for collecting it and for telling its customers how it will be used. If you are a workshop’s customer, the best place to start with any question is that workshop.
What we collect about workshops and staff
- Account details: workshop name, address, phone number, the number of bays, and each user’s name, email address and password (stored only in scrambled, “hashed” form).
- Billing details: your subscription and payment history. Card details are collected and stored by Stripe, not by us.
- Usage information: when you sign in, and technical details such as your IP address, used for security (for example, to block repeated failed sign-in attempts).
- Anything you send us, such as support emails.
How we use it
- To run your account and provide Shop Follow-Up, including sending reminder emails on your behalf
- To take payments and send receipts
- To keep the service secure and fix problems
- To contact you about your account, and about important changes such as price or terms updates
We don’t sell personal information, we don’t use it for advertising, and we don’t look at your customers’ records except where needed to support you, keep the service running, or meet a legal obligation.
Who we share it with
We use a small number of trusted providers to run Shop Follow-Up. They only get the information they need to do their job:
- Stripe, for card payments and invoices
- Our email delivery provider, which sends reminder and account emails
- Our hosting provider, which stores the app and its data
Some of these providers store information outside New Zealand (for example in Australia, the United States or Europe). We only use providers that protect personal information in a way that, overall, gives safeguards comparable to New Zealand law. We may also disclose information if the law requires it.
Cookies
Shop Follow-Up uses a single cookie to keep you signed in and protect forms from misuse. There are no advertising or tracking cookies, and no third-party analytics.
Keeping it safe
Connections are encrypted, passwords are hashed, each workshop can only see its own records, and data is backed up regularly. If a privacy breach is likely to cause serious harm, we will tell the people affected and the Privacy Commissioner, as the law requires.
How long we keep it
We keep account information while your account is open. After an account is cancelled or paused, we keep its data for 90 days in case you return, then we may delete it, with backups cleared on a rolling basis after that. We keep billing records for 7 years, because New Zealand tax law requires it. Workshops can delete their customers’ records at any time.
Reminder emails and unsubscribing
Workshops can only email customers who have agreed to be contacted. Every reminder includes an unsubscribe link, and unsubscribing takes effect straight away.
Your rights
You can ask for a copy of the personal information we hold about you, and ask us to correct it. Email shopfollowupadmin@gmail.com. If you are a workshop’s customer, we may pass your request to the workshop, because it controls that information. If you’re not happy with how we’ve handled your request, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Changes
If we make significant changes to this policy, we’ll update the date at the top and email account owners.
